REFUND & CANCELLATION POLICY

This Refund & Cancellation Policy applies to all retreat bookings made through this website and is incorporated into our Terms of Service.

1. How to Cancel
To cancel, email solveabiosciences@proton.me from the email used at checkout and include the participant name and booking details. The effective time of cancellation is when we receive your email.

2. Standard Cancellation Terms (Your Policy)
   •    Cancel 60+ days before the retreat start date: 50% refund of the total amount paid.
   •    Cancel 30+ days but fewer than 60 days before start date: no refund.
   •    Cancel fewer than 30 days before start date / no-show / early departure: no refund.

3. Non-Refundable Items and Unrecoverable Costs
Refunds (if any) are calculated after excluding non-recoverable costs already committed to secure the retreat (e.g., venue deposits, accommodation blocks, third-party bookings, administrative/payment processing costs where applicable).

4. Visa Denial, Border Refusal, Travel Disruptions (Customer Responsibility)
If you cannot attend due to visa denial, passport issues, refusal of entry, missed flights, personal scheduling conflicts, illness (unless covered by travel insurance), or other personal circumstances, this is treated as a customer cancellation and the terms in Section 2 apply. We strongly recommend purchasing travel insurance that covers cancellations.

5. Changes by You (Transfers / Substitutions)
Participant substitutions or date changes are not guaranteed. If permitted, they may be subject to administrative fees and third-party restrictions. Any approved substitution requires written confirmation from us.

6. Retreat Changes, Rescheduling, or Cancellation by Us
If we cancel the retreat for reasons within our control, we may offer (at our choice):
   •    a full refund of amounts paid to us, or
   •    transfer/credit to a rescheduled date, or
   •    an alternative program of comparable value.

7. Force Majeure (Outside Our Control)
If force majeure events materially affect the retreat (e.g., government restrictions, venue closure, travel bans, natural disasters, pandemic-related disruptions), we may reschedule or adjust the program. Refunds, if any, will be limited to the portion of fees we can recover from suppliers and will exclude non-recoverable costs. This clause is designed to keep the retreat viable while being fair and transparent.

8. Refund Method and Timing
Approved refunds are issued to the original payment method where possible. Processing times depend on the payment provider and your bank/card issuer. Stripe Checkout can display your refund policy and legal policy links to customers during checkout.  

9. Chargebacks / Payment Disputes
Before disputing a charge with your bank, contact us so we can attempt to resolve the issue. Unjustified chargebacks may result in cancellation of participation and refusal of future bookings where legally permitted.
